Privacy Policy

Dialed ("Dialed", "we", "us", or "our") operates usedialed.io and related services that help sales professionals review call recordings and improve performance through AI-powered coaching. This Privacy Policy explains what personal data we collect, how we use it, who we share it with, and the rights you have under applicable data protection law, including the EU General Data Protection Regulation (GDPR) and the UK GDPR.

Who we are

Dialed is the data controller for personal data processed through our platform. If you have questions about this policy or wish to exercise your rights, contact us at privacy@usedialed.io.

What data we collect

We collect the following categories of personal data:

  • Account data: name, email address, password (hashed), subscription tier, and profile preferences you provide when you sign up or update your account.
  • Call content: audio recordings you upload, generated transcripts, speaker labels, call metadata (duration, upload date, outcome tags), and AI-generated reviews and coaching notes.
  • Usage data: pages viewed, features used, credit consumption, practice session activity, and interaction with the AI coach.
  • Payment data: billing name, subscription status, and transaction references. Full card details are processed by Stripe; we do not store complete payment card numbers on our servers.
  • Technical data: IP address, browser type, device information, and cookies necessary for authentication and security.
  • Communications: messages you send to support or feedback you submit about review quality.

How we use your data

We process personal data to:

  • Provide, maintain, and improve the Dialed platform.
  • Transcribe call recordings, generate AI coaching reviews, and deliver personalised feedback.
  • Manage subscriptions, credits, and billing.
  • Send service-related emails (e.g. review ready notifications, account updates).
  • Monitor platform security, prevent abuse, and comply with law.
  • Analyse aggregated, anonymised usage patterns to improve product quality (where you have consented to analytics cookies).

Legal bases for processing (GDPR / UK GDPR)

We rely on the following legal bases:

  • Contract: processing necessary to deliver the services you subscribe to, including transcription and AI review of uploaded calls.
  • Legitimate interests: platform security, fraud prevention, product improvement, and internal analytics that do not override your rights.
  • Consent: optional analytics cookies (PostHog) and, where applicable, marketing communications you opt into.
  • Legal obligation: retaining records required by tax, accounting, or regulatory requirements.

Where you upload call recordings containing third-party voices (e.g. prospects or customers), you are responsible for obtaining any consent or legal basis required to record and share that content with us. See our Terms of Service for recording obligations.

AI processing and sub-processors

To deliver our core service, call audio and transcripts are processed by trusted sub-processors under data processing agreements:

  • Deepgram — speech-to-text transcription with speaker diarisation. Audio is sent to Deepgram for transcription; we receive text transcripts in return.
  • Anthropic— AI analysis and coaching. Transcripts (and compressed versions of long calls) are sent to Anthropic's models to generate performance reviews, skill scores, and coaching suggestions.
  • Supabase — database hosting and secure file storage for call recordings within EU-aligned infrastructure where available.
  • Stripe — payment processing and subscription management.
  • Vercel — application hosting and content delivery.
  • PostHog — product analytics (only when you accept analytics cookies via our cookie banner).
  • Resend — transactional email delivery.
  • Upstash — caching and rate limiting.
  • Discord — community access and verified-role sync when you connect your Discord account.
  • Sentry — error monitoring and application stability diagnostics.
  • Inngest — background job processing (e.g. transcription, review generation, and scheduled notifications).

We do not sell your personal data. We do not use your call content to train third-party foundation models unless explicitly disclosed and agreed. A current sub-processor list is available on our Data Processing page.

International transfers

Some sub-processors may process data outside the European Economic Area or the UK. Where this occurs, we implement appropriate safeguards such as Standard Contractual Clauses (SCCs) or equivalent mechanisms required under GDPR and UK GDPR.

Data retention

We retain personal data only as long as necessary for the purposes described in this policy:

  • Account data: for the life of your account plus a reasonable period after deletion to handle disputes and legal obligations.
  • Call recordings and transcripts: until you delete them or close your account, unless a longer period is required by law or you request earlier deletion.
  • AI reviews and coaching history: aligned with your call retention settings and account lifecycle.
  • Billing records: typically seven years for tax and accounting compliance.
  • Analytics data: in aggregated or pseudonymised form for product improvement, subject to your cookie preferences.

You may request deletion of your data at any time by contacting privacy@usedialed.io or through account settings where available.

Your rights

If you are in the EEA, UK, or another jurisdiction with similar protections, you may have the right to:

  • Access a copy of the personal data we hold about you.
  • Rectify inaccurate or incomplete data.
  • Request erasure ("right to be forgotten").
  • Restrict or object to certain processing.
  • Data portability in a structured, machine-readable format.
  • Withdraw consent where processing is consent-based.
  • Lodge a complaint with your local supervisory authority (e.g. the Irish Data Protection Commission or the UK Information Commissioner's Office).

To exercise these rights, email privacy@usedialed.io. We will respond within one month, or inform you if an extension is required.

Security

We implement technical and organisational measures including encryption in transit, access controls, and secure storage for call recordings. No method of transmission over the internet is completely secure; we cannot guarantee absolute security but we work continuously to protect your data.

Children

Dialed is not intended for users under 18. We do not knowingly collect personal data from children. If you believe a minor has provided us data, contact us and we will delete it promptly.

Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email or an in-app notice. The "Last updated" date at the top reflects the most recent revision.
